    Distribution Administrative Assistant - Greenville, OH

    This position is day shift Monday - Friday. Starting wage: $16.00/hr



    Separate and disperse completed driver packets

    • Pull tickets, ICDR, and handheld receipts
    • Enter trip tractor odometer readings
    • Enter trip trailer hub readings
    • Actualize driver manifests into TMW
    • Separate DVIR’s, trailer/hook trailer sheets, and other miscellaneous paperwork
    • Insure all fuel receipts are included in packets
    • Record and file contents of driver packets
    • Copy fuel receipts and Penske Driver Trip Report
    • File by truck number/month
    • Send trip report to Amy/Dolly
    • File by driver
    • Send trip information for other plant drivers to appropriate location
    • Enter mileage into Navision

    Log and track ICDR miles in Navision

    Code Comdata invoice

    • Match up fuel receipts to weekly Comdata invoice
    • File by month

    Order entry – local customers

    • Enter verbal order into TMW

     Prepare and assemble outgoing driver trip packets

    • Print schedule
    • Print trip summaries and fuel pages
    • Include all paperwork and correspondences such as Penske/Ryder trip reports, inspection sheets, C of A’s, seals, etc.

    Certificates of Analysis – distribute and maintain

    Maintain spreadsheet of all driver trip information

    Enter driver paper logs into XRS

    Retain distribution files

        • C of A’s
        • Comdata Invoices
        • Driver trip report/fuel receipt copies

    Use distribution account numbers to code and reimburse all receipts turned in by drivers

    Maintain and order driver supplies

    Assisting with Penske and Ryder trailer PM’s and service

    Prepare original Penske and Ryder paperwork for shipping

        • Take to post office/UPS when necessary

    Other duties may include but are not limited to:

    New driver handheld training

        • Prepare training instructions for each new driver
        • Set new driver up in Navision
        • Coordinate and carry out training within the new hire orientation

    Maintain handheld inventory

        • Correspond with IT all handheld and equipment issues
        • Correspond with IT all inventories of handhelds, printers, accessories

    Handheld updates

        • Perform all updates with each driver’s handheld and all extra inventory handhelds

    Telephone operator – back-up

    Penske tractor and trailer mile reporting

        • Locate current odometer and hub readings and report monthly

    Create and maintain new driver personnel files/records


    We are seeking the right individual with the following skills and experience:

    • Strong sense of urgency and efficiency
    • Positive and flexible attitude
    • Excellent written and verbal communication skills
    • Detail-oriented with a high degree of accuracy
    • Ability to work independently with minimal supervision
    • Computer experience is a must with excellent skills in MS Word and Excel – a skills test will be required
    • Multi-line phone experience

    Experience in Trucking recommended but not mandatory.
